Space Allocations, Clubroom Tenancies, Keys, Storage & Access

Locked Key Facilities

The following club facilities are controlled through keys:

  1. Mailboxes in the Guild Village
  2. Clubrooms in the Guild Village
  3. Locked storage rooms and cupboards in the Guild Village
  4. Venue hire in the Guild Village
  5. After-hours access to clubrooms and venues

1. Mailboxes

All affiliated clubs must have a free postal mailbox provided by the Guild, unless otherwise arranged. The mailbox is an essential part of club banking as well as general club administration.

A member of club commitee must check a club's mailbox regularly (i.e., at least once a per month, but weekly is assumed). Executive members of committee (i.e., approved OBFs) may borrow the mailbox key from Guild Reception. The mailboxes are located on the 2nd floor of the Guild Building and the general address format is:

2. Clubrooms

Tenancy Agreements

Once a year, Societies Council accepts applications for clubroom tenancies in the Guild Village. Existing tenants may retain their rooms, or the rooms may be re-allocated. It is essential that clubs attend the first Soc meeting of each year to find out about tenancies and storage areas. Applications for the current year can be made online (login below).

NB. Some Faculty Societies may have clubrooms within their faculty buildings, and this is arranged directly with the faculties.

Keys and Room Access

Clubroom doors can be opened by Club Presidents (who are issued with a key) and Club Executive members (who can borrow keys from Guild Reception from 8.30am weekdays). This is activated when your Office Bearer's Form is approved. Other club members may also apply to borrow keys from Guild Reception. This can be done by logging in as a student (below) and downloading the Room Access Form, which will then need to be signed by the Club President and submitted in person at Guild Reception when you want to borrow the key.

Clubs should be aware that clubroom keys are also influenced by the general UWA policies on keys & locks. If you are having a problem with a key or clubroom access, please contact Guild Reception and then Guild Finance.

Club Busy Bees

Societies Council may require clubs to attend periodic "busy bees" and "cleanup days" as part of their tenancies. Please see Soc Meetings.

Clubroom Telephone and Fax

Can hire a line, or do faxing through Guild Finance.

Waste Management

It is essential that clubs maintain a tidy environment and understand waste and cleaning rules. Please contact Guild Finance.

3. Storage

Similar to clubrooms, clubs may apply once a year for locked storage areas in the Guild Village. Keys can be borrowed and authorised under the same rules as clubrooms (above). It is essential that clubs attend the first Soc meeting of each year to find out about tenancies and storage areas. Applications for the current year can be made online (login below).

4. Venue Hire

5. After-hours Access

After-hours access to Guild venues (access overnight or during weekends) requires prior approval. UWA Security Officers are on patrol during these times and you will be required to have identification and authorisation documents with you. This applies to both clubrooms and hired venues.

When booking a venue, enquire directly about after-hours access.

If you wish to arrange for after-hours clubroom access, apply online (login below). Please note that applications should be made at least 48 hours in advance due to processing requirements and key restrictions. Your application will be processed by the Guild President, after which you will be contacted to pick up an authorisation letter from Guild Reception.
