Budgeting & Grants for Clubs

Treasurer Training

Affiliated clubs will be notified about treasurer training.

SOC has aimed to create a budget process that will keep claiming simple and convenient. Forms can be downloaded by entering you details at the bottom of this page.

Budget and Claims (Grants) Process

Grants are the Guilds Christmas present come early for the clubs. It is important that clubs send a delegate to SOC meetings as information about the process will be updated. You must be SOC affiliated in order to be eligible for these grants.

Due Dates

Societies Council awards grants to clubs three times throughout the year:

  • Year Budget (Master Sheet, due 9 April 2009)
  • Orientation Claims, after O-Day (due March/April)
  • 1st semester Claims (due in June or July, e.g., 3 July 2009)
  • 2nd semester Claims (due in October or November, e.g., 20 Nov 2009)

Forms must be downloaded from this website (log in below) and submitted to Guild Finance by 4pm on the relevant dates. You must attach photocopies of receipts to your submissions!

Orientation Grants

There are several conditions that your club must meet to receive this money.

You must have offered the $2 discount to Gold Guild Members (Guild Members who also pay UWA's Amenities and Services Fee). This must have been clearly displayed at your stall.

As soon as possible after O-Day you should fill out the Orientation Grants Claim electronically (log in at the bottom of this page). The due date changes each year, log in to check it.

Please note that the spreadsheet must be correctly filled in, with all of your members' names, student numbers and whether they are Gold Guild Members or not. Grants will be determined by the number of Gold Guild Members your club has. You won't necessarily get $2 back for every single paying Guild Member you sign up, but SOC will ensure you get your fair share of the funding pool!

Semester Budgets & Claims

In most years, there is a division of claims into five categories, and you can submit a form for each category. These forms are available online by logging in at the bottom of this page. You need to submit your Year Budget at the start of the year, then apply for corresponding claims after each semester.


1. Club Functions You will need a new club function sheet for each function that your club holds.
2. Club Room Expenses Includes phone, stationary, furniture, etc.
3. Publications and Mailouts This should be self-explanatory.
4. Orientation Day This includes the cost of your stall, any extra tables you hire, membership cards/posters etc.
5. Miscellaneous Obviously anything that doesn't fit into the other categories.

The form must be filled out with a list of anticipated expenses in each appropriate category. Make sure that all anticipated spending is included, as failure to include an item will result in that item being ineligible for claim. You must remember to keep a copy of your budget form, in order to fill out a claim form later in the semester.

Event Budgets & Grants

Clubs are able to procure one Club Event Support Grant per semester (this incorporates Swan Grants). Grant forms can be submitted either prior to or after the event in question. Approval is based on a reasonableness test of necessity plus any ethical or policy concerns. Forms can be downloaded (log in below).

To get a grant Clubs need to:
1. Give us an itemised budget and overview for your event.
2. Advertise the Guild at your event.
3. Submit the required claims forms, correctly filled out and on time.
This means the forms must be handed in no later than the relevant Semester Claims cut-off dates (see above, or log in below).

The Submission Process

Firstly, read the information about how to claim. Then log in to download the Soc Pac Claims Pack. The pack includes your Budget Coversheet, your Year Budget (Master Sheet) and an Individual Claims Sheet, which you can use for your Semester claims.

Once you have logged in you can also download the Event Support Grant Application or lodge your Orientation Grants Claim online.
