Web & E-mail Hosting

The Guild provides the following complimentary services to clubs:
  • E-mail aliases (also mandatory if you want any other services)
  • E-mail mailing lists
  • Web hosting (including PHP and MySQL)
  • DNS hosting

If you are a registered office bearer of your club, you can also check your club's hosting status by logging in below.

E-mail

It is really important to remain in communication with your committee, your members, and SOC to ensure everyone knows what’s going on with your club. The Guild is able to provide you with email aliases for affiliated clubs in the form basename@guild.uwa.edu.au. Aliases are not mailboxes for storage of messages but are a redirection that members of the public can send to -- they pass main straight through to another nominated email address(es). The club can chose its `base name' on its club coversheet. Please note your base name cannot be changed once set.

Eg:
Base name:myclub
Club president alias:myclub-president@guild.uwa.edu.au
Club committee alias:myclub-committee@guild.uwa.edu.au
Club general contact:myclub@guild.uwa.edu.au
Club member mailing list:myclub-list@guild.uwa.edu.au

The final alias gives the club the ability to email any number of members and they have managerial control over the mailing list. Once you have had these set up, you should update your club coversheet with your basename and general contact details.

Applying for Basic Aliases

If you are a new club, simply specify a basename on your club coversheet. Provided the name is not already in use, you will automatically get the following aliases:

basename-president@guild.uwa.edu.au->To your President's OBF e-mail.
basename-vp@guild.uwa.edu.au->To your Vice-President's OBF e-mail.
basename-treasurer@guild.uwa.edu.au->To your Treasurer's OBF e-mail.
basename-secretary@guild.uwa.edu.au->To your Secretary's OBF e-mail.
basename-committee@guild.uwa.edu.au ->Simultaneously to the four OBFs above.
basename@guild.uwa.edu.au ->Same as basename-committee@guild.uwa.edu.au

These are maintained automatically every time a new OBF is approved.

If you are an existing club, log back in to amend your club coversheet with a basename.

Applying for Extra Aliases

You can apply for extra aliases (e.g., basename-webmaster@guild.uwa.edu.au) by logging in an filling out a Club E-mail Alias Request.

Applying for Amendments

Although your four core aliases (-president, -vp, -secretary and -treasurer) are based strictly on your OBFs, you have discretion over the other aliases. For example, you can request that clubname@guild be directed to a Gmail account, or that clubname-committee@guild contains additional committee members. To make a request, log in below and submit a Club E-mail Alias Request.

Applying for Mailing Lists

As mentioned above, you can also apply for a self-managed subscriber list, which can be set up as either:

  • A club announcements list for members.
  • A member discusison list.

Your mailing list will have an address like clubname-list@guild.uwa.edu.au and will run with the Mailman web-based mailing software. To apply for a mailing list, log in below and submit a Club Mailing List Request. Once your appication is processed, you will be given a password that let you add your members to the list.

If you already have a mailing list, you committee should keep notes about how to administer it (e.g., the password). If you have lost these details, please contact ict@guild.uwa.edu.au

Websites

The Guild can also host club website, either at our club domain http://clubs.guild.uwa.edu.au or at your own domain e.g., http://www.myclub.asn.au. Guild webspace is free, and includes features like PHP and MySQL, running on an Apache/Linux platform. You will receive an FTP account that allows you to upload your website. Once this hosting has been set up, you should update your club coversheet to reflect your new contact details.

Domain Names

The Guild can host your domain (known as DNS Hosting). You must first purchase the domain name from a domain name registrar. You then apply to the Guild to do your free DNS Hosting. Your domain name can then be used for your websites, mailing lists and e-mail aliases. When applying to the Guild, you should first apply for your e-mail aliases, then for your website, then for DNS Hosting. Log in below to do this.
